Files Module


More Options Menu

The Menu Bar is displayed not only on the landing page but on all pages in the module, and contains the following options:

  • File Library Home: Navigate to the File Library landing page.
  • Search: Perform an advanced search of the files module for specific content.
  • Favorite Topics: Provides access to any file libraries you have added to your Favorites (if any).
  • Files in Favorites: Provides access to any files you have added to your Favorites (if any).
  • Options: Allows you to:
    • Files by Classification: Filter all files by their classification, making it easier to find specific ones.
    • Files by Tag: Filter all files by their tag(s), making it easier to find specific ones.
    • RSS Feeds: View all file libraries with an available RSS feed. Refer to the Using RSS Feeds section below for more information.
    • Latest Files: View the latest files added to all file libraries.

Adding a File

From the File Library landing page or your community's landing page, navigate to the file library you want to upload the file(s) to.

  1. Click the Add a File button in the leftside menu.
    EXAMPLE
    NOTE: This button is only available if you have permissions to add a file to the file library.
  2. On the resulting page, complete the required fields and any desired optional fields (Title, Description, Classification(s), Tag(s), Document Type, etc.).
  3. Click the Add button to add files to the entry.
    NOTE: Administrators can upload files up to 100 MB, while users can only upload files up to 60 MB.
  4. When finished, click OK to add your file(s) to the file library.

Linking to a File

From the File Library landing page or your community's landing page, navigate to the file library you want to link the file(s) to.

  1. Click the Add Link to File button in the leftside menu.
    EXAMPLE
    NOTE: This button is only available if you have permissions to add a link to the file library.
  2. On the resulting page, complete the required fields and any desired optional fields (Title, Description, Classification(s), Tag(s), Document Type, etc.). This process is identical to adding a file to the file library, but instead of browsing for a file, simply type the URL in the Link URL text box (highlighted in the image below).
    NOTE: Type the URL in the following format: http://www.example.com.
  3. When finished, click OK to add the file link entry to the file library.

Searching Files

Click Search on the Menu Bar to access the Search page, where you can perform full-text searches to locate specific file libraries and files. Any search results appear at the bottom of the page.

If your search retrieves too many results, try performing a more precise search by adding Advanced Search criterion such as author, time constraints, and classifications. To access these advanced filters, click the Advanced Search link.
In addition, there are a number of advanced search modifiers you can use to make your searches even more powerful and specific. Refer to the Advanced Search Help page for more information.
